Annual Meeting Minutes

December 13, 2011

 

Board Members Present: Terry Wood, Carol Wood, Candice Elliott, Andrew Koll, Dean Quick, Heather Bristow, Ron Reimers, Brad Shreve

 

Board Members Absent:  Harold Maier

 

Others Present:                 Len Spencer, Club Manager and Tennis Director

 

Meeting was called to order by President Terry Wood at 6:05 p.m.

 

Minutes of the November 15, 2011 Board meeting were approved.

 

Treasurer’s Report: 

 

Total Cash Available is $46, 414.  Beginning in 2012, financial reports will be dated as of the Board meeting date rather than month end.  This will enable the Board to have the most current information available. The Edward Jones accounts are being closed out and the funds will be transferred to Umpqua bank. We are ahead of budget projections for the year by $21,867.

 

Proposed Budget for 2012:  The 2012 proposed budget was developed by Andrew Koll, Len Spencer, and Terry Wood, then sent to all Board members by e-mail for their review prior to the Board meeting.  The total proposed budget is about $2,000 less than last year and is in the amount of $270,750. It will be further discussed and voted on at the January 2012 Board meeting.  It was pointed out that $1,000 was in the proposed budget for a new computer for the office. Andrew Koll recommended that the money be spent in December 2011. It was moved, seconded and passed that the money be spent in December 2011 with Andrew Koll and Len Spencer in charge of selecting the computer.

 


Manager/Tennis Director Report:

 

Len Spencer reported the addition of three new junior members with other membership categories remaining about the same. Total membership is 157, including trial members.  Len is working on contacts at the hospital and the new medical school in Lebanon.

 

Pun has been accepted to play for the Cambodian Davis Cup tennis team along with his younger brother. The Board extended its congratulations to Pun for receiving the honor. Pun is a tennis pro at ATC.

 

Other: The lights on court 3 are now operational. Energy savings from the new lighting are meeting projections. Two new advertising banners are in the works. Holiday social is set for Dec. 17. Efforts are underway to track a possible leak in the swimming pool.

 

Use of ATC Outdoor Courts by Local High School Tennis Teams

 

Use of ATC tennis courts by local high school teams was again discussed. A decision will be made at the January Board meeting regarding such use, the limitations, and whether or not to charge for the use.

 

 

 

 

ATC ANNUAL MEETING

 

At 7:00 p.m. the Annual Meeting of the Albany Tennis Club was called to order. Members in attendance in addition to the Board individuals previously named above were Egil Johnsen, Greg Fortier and Dean Elliott.

 

The only item of business to come before the meeting was the election of new Board members.  Dean Quick and Heather Bristow counted the ballots and reported that 21 ballots had been received with all ballots cast unanimously for Angie Klampe, Annette Murray-Mason and Renee Riley. There were no write-in ballots. The new Board members will begin their three-year terms on January 1, 2012.

 

 

Outgoing Board members Carol Wood, Candice Elliott, and Harold Maier were recognized for their contributions to the ATC Board. Terry Wood presented the State of the Club followed by questions and comments from members. One area of concern was the timely posting of Board minutes on the Club bulletin board and on the ATC website.

 

The Board meeting and the Annual Meeting were adjourned at 7:30 p.m.

 

Next board meeting is Tuesday, January 17, 2012, at 6:00 p.m. at ATC.
