Board Meeting

President Laura Hyde called the meeting to order at 7:01 pm.
The October 2009 minutes were approved.
Manager Report
Candice reported there are 9 new members:
Junior members: Chandler Kumpula, Emily McDonald, Mitch Bowen, Katie Bowen, Rachel Owens, Amanda Owens
New family trial members: Greg and Kristi Soriano, Robert and Orlinda Wirth, Brian and Heather Kier.
Tuan Nguyen family has changed from equity to a junior member.
In addition, three members gave up their single equity membership (Dennis Dahlin, Bill Mikkelson, and Christina Niskanen), one family gave up their family equity membership (David and Kim Beer), one family gave up their family trial membership (Jack and Jane Lee), and one junior gave up their junior membership (Chloe Mitchell). Total club membership is at 144, the highest in 15 months.
One equity club member who is going to China for 8-9 months for work has asked if he could do a snowbird policy. During the ensuing discussion, a motion was made and passed to clarify the snowbird policy as follows: It applies to members who choose to leave the area for recreational purposes only and not for work-related reasons or family emergencies. Another motion was made and passed to approve an 8-month leave of absence with a one-time processing fee of $10 plus $12 monthly dues (total of $106) for the member. The member’s key card will be deactivated during this time frame.
Len talked to Umpqua Bank about getting a credit card. The Club itself cannot get a card, but Len can get one in his name.
Grounds
Len reported that the ground work is about three-quarters done. There is still some moss that needs to be taken care of. Maintenance wise and grounds wise, the Club is looking good.
Len talked to the Fire Marshal about locking the back doors in the restrooms. If these doors are locked, then the pool area will have to be blocked off also. A suggestion was made to put a fence around the pool. This item will be on the December agenda.
Len has a master access key so that he can disable the front door during the hours he’s at the club so that nonmembers can come and go during classes.
Len is going to look into a court reservation system. There are many systems that range in price from $12.50 to $60 per month to run the site. Terry Wood is donating a computer that can be used for a reservation system.
Candice is looking into getting an AED for the club.
Len picked up 3 cases of lights from Salem STC.
Tennis Program
On January 16, the U of Oregon men’s and women’s tennis teams will be doing an exhibition at the Club.
The November 22 turkey tournament was a success with 28 people attending.
The ladies social had 22 attendees.
The Club made $464 from the two junior tournaments.
John McCormick and Rob Blickensderfer brought up their concerns about the juniors and the pro’s taking prime time away from long-time members (who play at these times) for lessons. Len has brought in a lot more clientele; therefore the impact on court times has increased.
The question of should we cap membership was brought up again. Further discussion at a future meeting.
Tennis Committee
Dick reported that the fall season has been completed. Flyers are out for forming mixed senior teams. So far, there are 2 senior mixed teams: 7.0 and 8.0.
Swim Committee
Len talked to a commercial pool expert – Lincoln Pool, who said the pool is “good to go”.
Finance
The Current Assets statement is incorrect; so Tom and Len will work on the bookkeeping/accounting differences on the statement. Len is also working on delinquent accounts.
Social Committee
There are 2 upcoming social events:
· December 4 for adults
· December 5 for the kids
Dale is working on a club e-mail list for sending club info. Len could do “broadcast” e-mailing to the club members.
Kudos to the Kolls for the lights on the bulletin board and the flyers for the 2 social events.
Business from Board Members
Webcam/Security System
Dale reported he has bought a system for $1,000. Two cameras are currently installed on courts 1 and 2. The cameras record motion. Two more cameras will be installed, one downstairs in the lobby hallway and one on court 3. Two others need to be purchased for installation upstairs in the viewing area and one to cover the pool and outdoor areas. There is a sign on the front door that says you are being recorded. More cable needs to be purchased to install the rest of the cameras.
The Board received a request from a single equity member requesting the Board waive her past due amount of $100 for the 2008 and 2009 annual maintenance fee. She just recently paid the past due amount (around $400) for monthly dues. Her request is due to her husband passing away in the spring of 2008. The request was denied.
Dues increase for Snowbird and Medical Leave policies: Should we increase the monthly dues by the same 10 percent as the membership for those who use these leaves?
· Snowbirders
o For single memberships, dues would increase from $12/month to $13/month.
o For couple-only family memberships, dues would increase from $16/month to $18/month.
· Medical leave: dues would increase from $8 to $9/month
The Board decided to leave the dues at the current level for the Snowbird and Medical leave policies
The Nominating Committee (Bob Scott, Diana Alexander, and Glen Soltau) recommended the following members for the Board:
· 3-year terms: Ron Reimers, Andrew Koll, and Terry Wood
· 2-year terms: Carol Wood, Candice Elliot, and Paul Snyder.
A motion was made and passed to approve all of the nominees. Voting ballots will be mailed to the equity members. Voting results will be announced at the annual club meeting.
The annual club meeting will be Thursday, December 17, at 7:00 pm.
